The Quote That Made Me Question the Price
Last February, I sat in my office with three HVAC quotes and a sore back from crawling around a warehouse roof. Our 10-ton rooftop unit was 19 years old, and the compressor had been cycling on high-pressure limit since January. The service manager said, in his least comforting voice, don't wait. So I started calling around.
One contractor quoted a Daikin 10 ton package unit with start-up included. Another contractor quoted a different manufacturer's 10-ton 'equivalent' at $4,300 less. My first instinct was to approve the cheaper quote. Then I built a total-cost-of-ownership spreadsheet (note to self: I should have done this before the roof inspection, not after).
Here's what changed my mind:
- The cheaper quote did not include a crane. Add $1,850.
- It did not include commissioning or a start-up report. Add $1,900.
- It did not include the extra refrigerant needed to extend the existing line set. Add $850.
- It included only a 5-year parts warranty. The Daikin quote had 10-year parts and labor.
Once those were added, the 'cheaper' quote was actually $300 higher before warranty value. After I estimated the expected cost of one compressor or fan motor failure in year 6, the Daikin came out ahead by roughly $2,400 over the first ten years. I checked the model number in the AHRI directory before signing. That took about 15 minutes and made me feel a lot less like I was guessing.
What I mean is that a quote tells you what the equipment costs. A cost model tells you what owning it will cost. Those are different numbers.
The Daikin AC Thermostat We Almost Deleted
The same quote included a Daikin AC thermostat. I almost removed it because the warehouse already had a standard thermostat and the maintenance team knew how to program it. But the Daikin communicating thermostat gave us two things that a standard unit can't: remote fault codes and runtime data.
That extra $420 was less than one service call for a 'nuisance' alarm. In June, the thermostat logged a low-voltage fault before the unit shut down. Our contractor saw the code, reset it remotely, and found a loose wire. No dispatch charge. Honestly, I'm still not sure if the energy reports save money or if I just like having data, but that one fault log paid for the thermostat.
The Snow Blower and Misting Fan Decisions
Maybe the HVAC decision overshadowed the other items on my desk. Our facility manager wanted an Ego snow blower and a misting fan for the shipping dock. Both looked like easy rejects if I was only comparing sticker prices.
The Ego snow blower cost $1,100. A comparable gas model was $750. But over five years, the gas model needed fuel, oil, carburetor attention, and the labor of 'why won't it start' in January. I estimated that at $85 per year. Add the noise complaints from the office next to the loading dock, and the Ego was the better total-cost decision. We bought it.
The misting fan was $1,200. It seemed like a luxury until I remembered that we lost two part-time dock loaders during the previous July when the concrete hit 102°F. Recruiting and training replacements cost around $2,000. One fan with a timer was cheaper than a single turnover event. I approved it because I was thinking about the summer as a whole, not the line item.
How to Drain Hot Water Heater (and Why It's a Procurement Issue)
While reviewing the budget, my facility manager asked me how to drain hot water heater. I didn't know, so he walked me through it: shut off the gas, attach a hose to the drain valve, open a hot water faucet, open the valve, and let it flush until clear. He had read that you should do it once or twice a year to remove sediment. Our old water heater had failed at year seven, and the bottom was packed with scale. The replacement quote was $8,200. A $250 annual flush might have bought us another three years.
So I added 'hot water heater drain' to the maintenance checklist and set a reminder for the first of each spring and fall. This wasn't about curiosity. It was about a capital expense I could have postponed by keeping an existing asset alive.
What I'd Do Differently
If I could go back, I'd start with the cost model instead of the purchase order. The Daikin 10 ton unit, the Daikin AC thermostat, the Ego snow blower, and the misting fan were approved in the same week. They totaled $31,800—about $800 over my initial budget. But the alternative was a series of small savings that would have reappeared as service calls, turnover, or early replacement.
There is no 'best' piece of equipment. There is only the best cost model for your particular building, climate, and team. I recommend the Daikin 10 ton package unit for a flat commercial roof with 3-phase power and space for future service access. If your roof has no crane access or your electrical service is limited, talk to a mechanical engineer first. That's not a sales pitch; that's the limit of my experience.
